Opportunity: Director of Operations
Title: Director of
Operations, Full Time

Broad
Function:
Responsible for the organization’s finance, accounting and
purchasing functions and reporting, human resources and
benefits management, facilities maintenance and
construction, staff training, vendor contracts, IT and
customer service management. Responsible for providing
leadership to department managers; developing and
coordinating strategic goals related to shelter
administrative and operations and organizational mission,
managing and maximizing resources, providing statistical
analysis and reports. Regularly reviews and updates
organizational and departmental policies, procedures and
guidelines, assuring compliance with local, state and
federal regulations and organizational mission. Prepares and
manages facility budget, reviews departmental expenditures.
Supervises:
Bookkeeper, Program Coordinator (and volunteer program),
Customer Service staff, Administrative staff, and Animal
Care staff (as needed).
Qualification Requirements:
To perform this job successfully, an
individual must be able to perform each essential duty and

the knowledge, skills, and/or ability required.
1.
Demonstrated
supervisory knowledge to include training methods,
motivation and decision making techniques. Ability to train,
manage and effectively direct the activities of staff;
thorough knowledge of Human Resources practices and laws and
Benefits management. Skill in mediating disputes, conflicts
and grievances
2.
Demonstrated
program management knowledge to include experience with
accounting software (QuickBooks and Fund EZ), and other
Microsoft and database programs. Thorough understanding of
and extensive experience in nonprofit accounting and
management, fiscal and budgetary practices; knowledge of
local, state and federal regulations for the workplace
3.
Demonstrated
personal communication skills to include knowledge of
interviewing techniques, skill in writing and editing and
ability to express thought orally in a clear manner. Must be
able to relate and confer with the Executive Director, Board
of Directors, managers, associate staff and volunteers in a
positive and constructive way; exercise good judgment when
dealing with the public and when making decisions in the
absence of the Executive Director; demonstrate
sound
judgment when dealing with confidential information.
4. Strong
organizational skills Effective record keeping ability; Able
to work independently and in a team setting; Able to
multi-task and prioritize job duties in a fast-paced and
constantly changing work environment; Able to maintain
composure in an often stressful and emotional work
environment.
5. Experience
negotiating with vendors: Understanding of facilities
maintenance issues and procedures and preventative
maintenance; Knowledge of workplace safety requirements and
programs; Able to handle emergency situations.
Working
Conditions:
Work
schedule may be flexible, and will require occasional
evenings, weekends and holidays. This position is classified
exempt. The physical demands of the position include
sitting, standing, and walking; occasional lifting,
carrying, pushing and pulling of 50 lbs.; and stooping,
kneeling, reaching, handling, speaking, hearing, and seeing.

Broad
Function:
Maintains donor and gift records in Donor
Perfect database and paper files. Provides general clerical
support to Development Director, Executive Director, and
Operations Director.
Duties and Responsibilities:

Maintains donor and donation database.
Includes entering and updating donor contact information
and processing donations. Prepares donor lists for
quarterly HSKC newsletter, quarterly direct mail
appeals, and other mailings as needed. Prepares
donation acknowledgments and receipts. Utilizes mail
merge. Assists in writing assignments as needed.
Develops and runs monthly and as-needed database reports
for Development and Operations departments.

Processes recurring credit card
donations.

Assists Development Director in preparing
direct mail solicitations.

Tracks, produces, and mails notification
cards and letters for memorial and honorary gifts.
-
Tracks, produces, and mails birthday
cards to Legacy Circle members.
-
Assists in development meeting
scheduling, set-up, and follow-up. Includes preparing
agendas and taking minutes.
-
Assists with donor relations and donor
recognition programs and events. Maintains records of
donor recognition programs including Growing Memories
sponsored trees, bricks, and other naming opportunities.

Manage Convio Program.

Provides general clerical support to
Development Director, Executive Director, and Operations
Director. Includes creating and updating paper files,
writing and distributing memos to staff and volunteers,
assisting with financial reporting and deposits,
petpoint administration functions, and purging records
as needed.

Assists service desk with incoming calls,
providing general information and direction to callers.

Assists with Petango, Petpoint,
Petfinder.com, and media promotion of adoptable pets as
needed.
-
Works with Development Director and other
staff to complete surveys for all previously adopted
pets through Survey Monkey.

Assists with events on and off site as
directed.

Maintains donor confidentiality.
Qualification Requirements:
To perform this job successfully, an

Associates degree or higher.

Highly
proficient in database management. Knowledge of Donor
Perfect is a plus.

Excellent writing, communication, and customer service
skills.

Proficient in MS Office programs, especially Word and
Excel, including mail-merge functions.

Knowledge of office equipment including fax machine,
copier, telephone and calculator.

Knowledge of USPS bulk mail rules and procedures is a
plus.

Ability to have a flexible schedule including nights and
weekends.

image. Must be proficient in Microsoft Office
programs-especially MS Word, MS Excel and MS Publisher.
Knowledge of Adobe Creative Suite CS4, photography, and/or
animal welfare are a plus. This internship is offered to
college students who are majoring in Marketing, Public
Relations, Communication, Photography, and/or related
fields.
